Privacy Policy
Last Updated: March 13, 2026
At Fyimad, we are committed to protecting your privacy and ensuring the security of your professional data. This Privacy Policy outlines how we collect, use, process, and safeguard your personal information when you use our website, applications, and AI-powered services.
1. Information We Collect
Account Information: When you create a Fyimad account, we collect your name, email address, password, and account preferences.
Professional Data: We collect the resumes, cover letters, job descriptions, LinkedIn profiles, and any other employment-related documents you upload to our platform for analysis or generation.
Payment Information: If you purchase a premium subscription, our third-party payment processors (e.g., Stripe) collect billing and credit card information. Fyimad does not store your full credit card numbers.
Usage Data & Device Information: We automatically collect log data, device IDs, IP addresses, browser types, and information regarding your interaction with our Service (such as pages visited and features used).
2. How We Use Your Information
Service Delivery: We primarily use your professional data to provide our core AI-powered services, such as analyzing your resume, suggesting improvements, generating cover letters, and scoring your fit against job descriptions.
Account Management: To process your registration, handle billing, and provide customer support.
Service Improvement & Analytics: We analyze anonymized and aggregated usage data to understand how our Service is used, fix bugs, and develop new features.
Communication: To send you service-related notices (e.g., security alerts) and, if you opt-in, promotional emails regarding new features.
3. Artificial Intelligence & Data Processing
AI Analysis: By utilizing our Service, your uploaded text (resumes, job descriptions, LinkedIn content, and similar professional data) is processed by advanced artificial intelligence models. This processing is strictly transient and used solely to generate the tailored output you request.
Model Training: We do NOT use your identifiable personal data to train our foundational AI models. Any data used to improve our specific fine-tuned algorithms is deeply anonymized and stripped of Personally Identifiable Information (PII) prior to use.
4. Information Sharing & Disclosure
We do not sell, rent, or trade your personal information to third parties.
Service Providers: We may share data with trusted third-party vendors who perform services on our behalf (e.g., cloud hosting via AWS, payment processing, email delivery, and LLM API providers). These vendors are legally bound by strict confidentiality agreements.
Artificial Intelligence Service Providers: To deliver AI-powered features, we may securely transmit limited portions of your uploaded text to trusted AI processing providers, such as OpenAI, Anthropic, or similar large language model providers. These providers process data solely for the purpose of generating the output requested by you, subject to their applicable contractual and technical safeguards.
Legal Requirements: We may disclose your information if legally required to do so, such as in response to a subpoena, court order, or to comply with law enforcement requests.
Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to the acquiring entity adhering to this Privacy Policy.
5. Data Retention & Security
Retention: We retain your account information and uploaded documents as long as your account is active. If you delete your account, we will permanently purge your professional documents from our active databases within 30 days, subject to limited retention obligations required by law, billing, fraud prevention, dispute resolution, or legitimate security needs.
Security: We implement industry-standard administrative, technical, and physical security measures—including AES-256 encryption at rest and TLS encryption in transit—to protect your data from unauthorized access or alteration. However, no internet transmission is 100% secure, and we cannot guarantee absolute security.
6. Legal Basis for Processing (GDPR)
Where the General Data Protection Regulation (GDPR) applies, we process your personal data under one or more of the following legal bases:
• Contractual necessity — to create and manage your account, process your documents, and provide the services you request.
• Legitimate interests — to secure our platform, prevent abuse, improve our products, diagnose bugs, and operate our business responsibly.
• Consent — where required, including for optional marketing communications or non-essential analytics cookies.
• Legal obligation — where processing is required to comply with applicable laws, regulations, or lawful requests.
7. Your Privacy Rights (GDPR, CCPA & Global)
Regardless of your geographic location, we offer you the following rights concerning your data:
Right to Access: You may request a copy of the personal information we hold about you.
Right to Rectification: You can update or correct inaccurate information directly within your account profile.
Right to Erasure ('Right to be Forgotten'): You can delete your account and all associated resumes/data at any time from your account settings, or by contacting support.
Right to Opt-Out: You may opt-out of promotional communications by clicking the 'unsubscribe' link in our emails.
Right to Data Portability: You may request a machine-readable copy of the professional data you have uploaded to Fyimad, where applicable.
8. Cookies & Tracking Technologies
We use cookies, web beacons, and similar tracking technologies to track user activity, store preferences, and improve navigating our Service.
You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you disable cookies, some portions of our Service may become non-functional (e.g., maintaining your logged-in session).
9. International Data Transfers
Fyimad operations are globally distributed. Your data may be transferred to, and processed in, countries other than the one in which you reside.
Where required by applicable law, we take reasonable steps to ensure appropriate safeguards are in place for international transfers, including contractual protections and other lawful transfer mechanisms.
10. Children's Privacy
Our Service is designed for working professionals and is not directed towards individuals under the age of 16. We do not knowingly collect personal information from children. If we discover we have collected data from a minor without verified parental consent, we will promptly delete it.
11. Enterprise Data Processing
For enterprise or business customers, Fyimad may make available a Data Processing Addendum (DPA) governing the processing of personal data in accordance with applicable privacy laws, including GDPR where relevant.
12. Changes to This Privacy Policy
We may update our Privacy Policy periodically. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the 'Last Updated' date.
We encourage you to review this Privacy Policy periodically for any changes.
